POSITION SUMMARY: 

The Administrative Assistant is responsible for providing temporary administrative support to the Assistant to Chairman/CEO, in support of the Chief Executive Officer.  

PRIMARY RESPONSIBILITIES / ACCOUNTABILITIES: 

  • Provide general administrative assistance and organization including but not limited to answering phones, scheduling meetings, distributing mail, filing, Travel & Expense reports, invoice coding and processing, sending email or written correspondence.
  • Assist in day-to-day functions with heavy emphasis on calendar management and travel coordination (Domestic and International arrangements).
  • Manage meetings including scheduling rooms; securing and preparing audio/video equipment for presentations; securing meeting materials or digital files from all applicable divisions; ordering and setting up food and storing documents for future reference.
  • Manage and secure approvals when required.
  • Assist with special projects as requested and maintain utmost confidentiality at all times.
  • Execute other associated responsibilities as directed.
  • Assist with handling the logistics of Board meetings.
  • Able to communicate with employees and management of all levels, including external customers.

  • Multi-task and prioritize tasks from multiple sources with adherence to deadlines.
  • Review e-mails sent throughout the day, maintaining a running list of actionable items and keeping a daily update.

  • Must be a professional who works well under pressure with a cooperative and pleasant attitude.
  • Must be proactive and resourceful with all tasks.
  • A focused and strategic thinker open to change and finding new methods to complete tasks.
  • Maintain a proactive approach to anticipated issues and conflicts.

ENVIRONMENT:  

  • Must also be able to work independently in an executive office, juggling many priorities against deadlines in a fast paced, high-energy environment.
  • Flexible in working additional hours if needed.
  • Comfortable working with varied levels of associates/management.

QUALIFICATIONS & EXPERIENCE:

Experience:  

  • Minimum 5 years’ experience as an administrative/executive assistant role
  • Knowledgeable in processing invoices and expense reports

Skills/Requirements: 

  • Detail oriented and highly organized
  • Excellent at handling changing priorities; multi-tasking
  • Strong prioritization & follow-up skills; strong sense of urgency
  • Must possess exceptional interpersonal skills
  • Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction
  • Strong knowledge of Microsoft Excel, Word, PowerPoint, and Outlook
  • Demonstrate the highest degree of confidentiality and integrity
